Schengen Visas (Ethiopia)

LIST OF REQUIRED SUPPORTING DOCUMENTS TO BE PRESENTED BY APPLICANTS FOR SHORT-TERM (SCHENGEN) VISAS:

1) Schengen visa application form
- filled in completely and signed
- form is available in PDF: Schengen Visa Form (English) (PDF, 88 KB)

2) photograph
- one photo, size 3,5 x 4,5 cm, recent, white background

3) passport
- at least 2 blank pages
- expires at least 3 (three) months after leaving Schengen Area

4) one color COPY of the passport data page

5) one color COPY of all the previous Schengen or UK / USA / Canada / Australia visas

6) documents confirming the purpose of stay (choose the right one out of the following list):

--- tourism
- detailed travel itinerary (day by day schedule)

--- business trip
- invitation letter to a business meeting / conference from the Czech partner (must include: applicant's personal data, the reason for the visit, period of intended stay, who will be responsible for supporting the applicant financially during the stay, contact details of the inviting organization)
- AND confirmation letter from current employer or organization (must include: applicant's personal data, applicant's function/profession, the reason for the visit, period of intended stay, who will be responsible for supporting the applicant financially during the stay, contact details of the employer)
- AND proof of previous business relations with the inviting Czech business partner

--- conference
- invitation letter from the Czech event organizer (must include: applicant's personal data, name and dates of the event, if the event organizers will cover any expenses, contact details of the Czech event organizer)
- AND proof of registration
- AND receipt for (paid) registration fee

--- short-term study trip
- letter of acceptance from the Czech educational institution (must include: applicant's personal data, the reason for the visit, period of intended stay, who will be responsible for supporting the applicant financially during the stay, contact details of the Czech educational institution)
- AND signed letter from the applicant’s educational institution (must include: applicant's personal data, the reason for the visit, course enrollment and number of years at institution, contact details of the applicant’s educational institution)
- AND proof of scholarship (if awarded) clearly stating monthly amount in CZK or EUR
- AND proof of the final highest qualification achieved (Diploma); must be a certified true copy
- AND the most recent student academic record; must be a certified true copy

--- official trip (holders of diplomatic OR official passports)
- Note Verbale / Official Letter from public authority (from the correspondent Ministry / Parliament) (must include: applicant's personal data, applicant's function/profession, the reason for the visit, period of intended stay, who will be responsible for supporting the applicant financially during the stay)
- AND Note Verbale from the Ministry of Foreign Affairs of Ethiopia supporting the trip
- AND invitation letter from the correspondent Czech authority

--- visiting family and friends
- invitation letter in a free text form (must include: name and address of both host and applicant, relation between host and applicant, purpose and duration of stay including date of arrival and departure, indication of person covering the costs, contact details of the inviting person)
- AND if host is paying for the trip, documentation on occupational / financial situation of the host
- AND signed copy of passport or Czech ID of the inviting person
- AND copy of valid Czech residence permit of the inviting person (in case of foreigners living in the Czech Republic)

--- sport / cultural events
- invitation letter from the Czech event organizer (must include: applicant's personal data, name and dates of the event, if the event organizers will cover any expenses, contact details of the Czech event organizer)
- AND confirmation letter from the represented Ethiopian organization (must include: applicant's personal data, applicant's profession and/or specific function held within the organization, applicant's level of competition, name and dates of the event, period of intended stay, who will be responsible for supporting the applicant financially during the stay, contact details of Ethiopian organization)
- AND sponsorship agreement (in case the sponsor covers the costs)
- AND confirmation of the previous sport/cultural events participations and previous sport results (national and international) issued by the relevant Ethiopian entity/federation
- AND proof of media coverage of applicant's previous participations in sport/cultural events abroad (social media posts are acceptable)

--- medical treatment
- letter from the Czech medical institution (must include: applicant's personal data, the contact with the local doctor, nature of the treatment, estimated time for recovery, the need for return visits, the cost of treatment, the mention that the patient is accepted, the indication that the treatment can be performed, the indication that the medical institution or doctor agrees with the intended method of payment, contact details of the Czech medical institution)
- AND proof of previous email communication with the Czech medical institution
- AND confirmation letter drafted and signed within the last 3 months by the applicant's local doctor in Ethiopia providing background information about the applicant's diagnosis and about the planned medical treatment and confirming the need of specific medical treatment to be provided abroad
- AND proof of pre-payment of the treatment or other proof of sufficient financial means to cover the medical treatment and related expenses

7) flight ticket reservation(s) / booking(s)
- including all the flights and other transportation within the Schengen Area during the trip

NOTE: The Schengen visa process takes up to 15 days, which may be extended to a maximum of 45 days in individual cases, particularly where additional scrutiny of the application is required, such as in cases of previous Schengen visa refusals. If this rule is not respected by the applicant (for example the flight ticket is issued for an earlier date of departure than after 15 days following the visa application appointment date), the visa will be refused. Applicants must be aware of this when scheduling their visa appointment.

8) hotel reservation(s)
- or any kind of proof of accommodation provided for the duration of the trip

9) medical travel insurance
- issued by the authorized insurance company
- must be valid during the whole trip
- must be valid for the whole Schengen Area
- coverage of at least 30.000 EUR with 0 (zero!) EUR deductibles / co-pay

NOTE: In case of an insurance not covering all the Schengen countries or not covering the whole trip or in case of an insurance with deductible, the visa is automatically refused.

EXCEPTIONS: Holders of diplomatic passports are exempt from the requirement to present a travel medical insurance.

10) confirmation of current employment or study (choose the right one out of the list):

--- in case of an employee
- written confirmation from employer (must include: applicant’s personal data, job position, starting date in the company, length of contract, monthly salary, contact details of the employer)
- AND work contract
- AND confirmation of leave days granted (issued by the employer) confirming the purpose of travel (for example: tourism, conference, training, study etc.)
- AND last 3 payslips/payrolls as proof of salary in the last 3 (three) months

--- in case of a self-employed person
- original of the trade/business license
- AND tax registration
- AND business registration (city administration)
- AND bank statement for business account for the last 6 (six) months

--- in case of a student
- written confirmation from school about the study enrolment and all the details about the study program including its length (must also include: applicant’s personal data and contact details of the school)
- AND confirmation from school of leave days granted

--- in case of a retired person
- documents proving the pension or other regular monthly financial support

11) proof of sufficient financial funds and of applicant’s financial stability and socioeconomic situation
- personal bank account statements covering the last 6 (six) full months (applicant must be owner of the account)
- AND in case the trip is financed by a company/institution/organization: confirmation letter and bank statements for the company/institution/organization business account for the last 6 (six) months

12) one COPY of the front side of a valid applicant’s VISA/MasterCard debit or credit card
- card must be issued by the same bank as the applicant’s bank statements

13) additional requirements for minors (under the age of 18 years)
- original of birth certificate (legalized by the Ministry of Foreign Affairs of Ethiopia)
- copy of both parents' ID cards AND passports
- legalized written consent letter from both parents if the minor travels alone, or from the parent that is not accompanying the child when travelling
- if either one of the parent is absent or deceased this must be supported by a court decision or a death certificate when applicable (legalized by the Ministry of Foreign Affairs of Ethiopia)
- if the legal guardian is someone else apart from the parent as stated in the birth certificate, a custody order must be submitted proving the legal guardianship (legalized by the Ministry of Foreign Affairs of Ethiopia)
- a letter from school containing the minor’s name, name of parents, grade, number of years at school, school holidays, contact details, date and name of school representative
- if the minor travels with a group: a complete list of names of all group members travelling and name of person in charge of the group

14) any other documents proving the applicant's financial status and social ties in the country of origin
- bank savings account statement
- property ownership/title deeds (house, apartment or any other real estate)
- lease agreements
- car ownership registration
- marriage certificate, children’s birth certificates, etc.

15) visa fee
- EUR 90
- to be paid in cash in EUR only

NOTE: The embassy only accepts payments in cash in EUR (exact amount must be provided by the applicant). There is no possibility to pay with a debit/credit card or in any other currency than EUR. The embassy will only be accepting the new series of EURO banknotes for security reasons and to prevent any frauds. Any banknotes that would be damaged or wrinkled will be refused immediately. Any banknotes from the old series will also be refused.

EXCEPTIONS: The visa fee will be waived for applicants belonging to one of the following categories:
- children under six years
- students, postgraduate students and accompanying teachers who undertake stays for the purpose of study or educational training
- researchers travelling for the purpose of carrying out scientific research
- holders of diplomatic and service or official passports


IMPORTANT NOTES:

ALL THE DOCUMENTS MUST BE IN CZECH OR ENGLISH OR TRANSLATED TO CZECH OR ENGLISH.

IF ANY ORIGINAL DOCUMENTS ARE PRESENTED AND THE APPLICANT WISHES TO KEEP THE ORIGINALS, A SIMPLE COPY OF EACH DOCUMENT MUST BE SUBMITTED TOGETHER WITH THE ORIGINAL.

IN CASE OF APPLICANTS TRAVELLING TO SLOVAKIA, "SLOVAK" IS TO BE UNDERSTOOD INSTEAD OF "CZECH" IN ALL THE ABOVE MENTIONED REQUIRED DOCUMENTS.

"ETHIOPIAN" TO BE SUBSTITUTED BY "DJIBOUTIAN", "COMORIAN", "SOMALI" OR "SOUTH SUDANESE" DEPENDING ON THE CITIZENSHIP OF THE APPLICANT.

IGNORING THE SCHENGEN VISA CODE AND NOT SUBMITTING ANY OF THE ABOVE MENTIONED DOCUMENTS MIGHT RESULT IN THE REFUSAL OF THE VISA APPLICATION.

IN CASE THE APPLICANT WHOSE VISA HAS BEEN GRANTED DECIDES TO CHANGE THEIR ITINERARY OR ANY OTHER DETAILS OF THEIR TRIP AND DOES NOT NOTIFY THE EMBASSY IMMEDIATELY PROVIDING ALL THE RELEVANT NEW DOCUMENTS, THEIR VISA MAY BE REVOKED AT ANY TIME EVEN DURING THEIR TRIP AND THIS FACT WILL HAVE NEGATIVE CONSEQUENCES AND IMPACT ON THEIR FUTURE VISA APPLICATIONS.
