Appointment - Purposes of Family and Family Reunification

Electronic registration for appointments to submit applications for long-term visa for family purposes and long-term/permanent residence permit for family reunification takes place on a quaterly basis via hanoi.family@mzv.gov.cz.

LONG-TERM VISA - FAMILY PURPOSES

LONG-TERM/PERMANENT RESIDENCE PERMIT - FAMILY REUNIFICATION

Electronic registration for assigning an appointment for personal submission of an application for a long-term visa for family purposes and for a long-term/permanent residence permit for the purpose of family reunification in 2026 will take place on quaterly basis on the following days:

November 25, 2025 from 2:00 to 8:00 p.m. Vietnam time (for appointments in Q1 2026)

February 24, 2026 from 2:00 to 8:00 p.m. Vietnam time (for appointments in Q2 2026)

May 26, 2026 from 2:00 to 8:00 p.m. Vietnam time (for appointments in Q3 2026)

August 25, 2026 from 2:00 to 8:00 p.m. Vietnam time (for appointments in Q4 2026)

1. Requests for an appointment to submit an application for a long-term visa for family purposes or a long-term/permanent residence permit for the purpose of family reunification should be sent on the above-mentioned dates and time to the following email address: hanoi.family@mzv.gov.cz*
2. Indicate your passport number in the email subject line (for example X12345678).
3. In the body of the email, state in Czech or English: your name and surname (as it appears in your travel document), visa/residence permit type and the purpose of your stay.  Also state the names of your spouse and minor children if you are applying together.
4. Attach the following documents (in PDF format) to the e-mail: a scan of the data page of your passport and a scan of proof of the purpose of your stay (residence permit or long-term visa of the person with whom you intend to reunite, marriage certificate in the case of spouses, and birth certificate in the case of minor children under 15 years of age).

5. Applicants who are not citizens of countries within the territorial jurisdiction of the Embassy of the Czech Republic in Hanoi must also attach a scan of a document proving that they have been granted residence in a country within the territorial jurisdiction of the embassy for at least the previous two years. If residence cannot be proven, the applicant must submit their application in their home country.
6. 1 applicant = 1 e-mail. Submit only one email per applicant. Only one applicant can be registered in each email. The only exceptions are: when minor children apply with a parent (→ parent includes minor children in their application) or when a family is applying (→ one family member includes minor children and spouse in their application).
7. Your e-mail will be processed electronically by a system based on a randomized element.
8. The following emails will be excluded from the registration process:

  • (i) emails that are not sent in the format specified in points 2 and 3,
  • (ii) emails that do not include the attachments referred to in point 4, and 5 where applicable,
  • iii) emails in which the applicant attempts to register multiple applicants in one submission** - except for emails from family or parents registering their minor children, 
  • (iv) emails that are sent multiple times by one applicant, 
  • v) emails sent outside the specified registration period,
  • vi) emails with attachments larger than 10 MB.

9. Wait for the confirmation. The Embassy will inform you within 10 working days whether an appointment has been assigned or not.
10. If you do not receive confirmation of an assigned appointment within 10 working days, it means that your registration for an appointment was either unsuccessful or was not sent in accordance with the terms and conditions of the registration process.
11. The assigned appointment cannot be changed. If you fail to show up for your appointment, the assigned appointment becomes invalid. If you arrive late without prior apology, your appointment will also be cancelled - in such a case, the Embassy will proceed with other applicants who arrived on time. 

Number of applications accepted for a given period: 230 (spouses and minor children included)

*The email address provided is intended solely for booking appointmenst to submit visa applications and is not for general communication or answering inquiries.
**In order to ensure the functionality of the system, attempts to send bulk registrations using software tools may be evaluated as spam by the the mzv.gov.cz domain´s anti-spam  system. As a result, these registrations will not be further processed.

Based on proof of dvou (2) consecutive unsuccessful attempts to schedule an appointment to submit an application in person for a long-term residence permit for the purpose of family reunification during the last year, the applicant may be allowed to submit an application for the same purpose without the need to participate in further electronic registration. Requests for an appointment in Czech or English should be sent exclusively to the following e-mail address: hanoi.registrations@mzv.gov.cz The request must be accompanied by evidence confirming two (2) consecutive unsuccessful attempts to register in the last year before the request for an appointment was submitted. The Embassy will verify that the conditions have been met and inform the applicant by email whether or not an appointment has been granted.
