How to Book an Appointment

Short-term (Schengen) visa:

Applicants for short-term (Schengen) visa can get the appoitment only via Joint Visa Application Centre (VFS Global).

Long-term visa and residence permit:

Applicants travelling to the Czech Republic shall schedule an appointment for the purpose of submitting their long-term visa and long-term residence permit application via the following e-mail addresses according to purpose of their stay in the Czech Republic:

ulaanbaatar.family@mzv.gov.cz– applicants for long-term visa or long-term residence permit for family purpose; registering is launched every Friday from 8.30 a.m. Mongolian time for upcoming week (until all slots are fully booked)

ulaanbaatar.student@mzv.gov.cz

- applicants for long-term visa or long-term residence permit for study purpose; registering is launched every Friday from 8.30 a.m. Mongolian time for upcoming week (until all slots are fully booked)

ulaanbaatar.visa@mzv.gov.cz

- applicants for long-term visa for business purpose, long-term visas and long-term residence permits for other purposes not mentioned above and applicants for permanent residence permit; registering is launched every Friday from 8.30 a.m. Mongolian time for upcoming week (until all slots are fully booked)

 

The subject of the e-mail requesting an appointment has to contain the passport number of the applicant. E-mails which will contain not only the passport number in the subject will not be considered as valid and will not be answered and processed.

The email must contain the following identification information about the applicant:

  1. given name and last name
  2. date of birth
  3. passport number
  4. purpose of travel (e.g. study, family reunification, business, culture, employment card)
  5. phone number
  6. e-mail
  7. attachment- scan of the passport data page
  8. attachment- scan of the document proving the travel purpose (e.g. employement card - complete and signed employment contract, study purpose - acceptance letter of the university, family reunification - marriage certificate, birth certificate)

It is to be noted that the received applications will be accepted and processed chronologically. The applicant will only be given an appointment date if all the necessary requirements are fulfilled. All correct e-mails received before the available capacity is reached will be answered with an automatic response and will be processed within few hours.

The appointment dates are final and unchangeable. Cancelled appointments cannot be replaced by other applicants. If the applicant cancels his/her appointment, a new appointment must be arranged via e-mail under the described procedure.

1 email is valid for 1 applicant only (1 email = 1 applicant), with the exception of minor children in case they are applying together with parents.

 

Number of slots for particular type of long-term visa/residence permit:

Employment cards (Program qualified employee):

3170 (one year capacity)

Long-term visas for business purpose:

1 (quarter year capacity)

Long-term visas and long-term residence permits for family purpose:    

20 (one week capacity)

Long-term visas and long-term residence permits for study purpose:

6 (one week capacity)

Long-term visas and long-term residence for other purposes and permanent residence permits:

3 (one week capacity)

 

When the capacity is reached, the applicant will receive an automatic response:

„Thank you for your ongoing interest for the personal appointment to apply for long-term visa / residence permit. Because of the limited capacity of the Consular Section of the Embassy it is not possible to satisfy your request. In case of your interest for the appointment kindly consult the website of the Consular Section of the Embassy where the up-to-date information about registration is regularly updated.“

There is no other way to make an appointment for submission the applications and the Embassy will not respond to attempts which do not follow the above described procedure.

Third country nationals who intend to apply for short-term Schengen visa or long-term visa/residence permit at the Czech Embassy in Ulaanbaatar (or at VFS Global for short-term visa) must prove that they are consecutively living in Mongolia min. 24 months or more in order to submit their application. They shall submit a valid residence permit proving their status and eventually copies of previous residence permits.
