Change in registration procedure for applying for employment cards and seasonal employment visas at the Embassy of the Czech Republic in Tokyo

A new appointment system for citizens of other countries than Japan, who wish to apply for an employment card or a seasonal employment visa, has been implemented at the Embassy of the Czech Republic in Tokyo.

A) Citizens of Japan:

Japanese nationals interested in arranging an appointment for submitting applications for employment cards (or seasonal employment visas), please follow the standard procedure explained on this website.

 

B) Citizens of other countries holding a long-term or permanent residence permit in Japan:

  • Important note: Foreigners residing in Japan (who are not Japanese citizens) can submit an application for a long-term residence permit at the Embassy of the Czech Republic in Tokyo only if they have resided in Japan legally and continuously for at least two years and are currently holders of a Japanese residence permit that is at least one year long.

 

Those (citizens of other countries than Japan) interested in arranging an appointment for submitting applications for employment cards or seasonal employment visas, please register at the e-mail address Tokyo.Employment@mzv.gov.cz following this procedure:

 

(Note: This registration procedure does not apply to applicants for a residence permit for the purpose of scientific research. In such cases, please send a request for an appointment in the standard way.)

 

Conditions for sending a registration e-mail:

1. Next e-mail registration will  take place on February 26th, 2025 from 09:00 a.m. till 03:00 p.m. (Japan time) - registration will be open for 6 hours. E-mails delivered to the Tokyo.Employment@mzv.gov.cz mailbox before or after this time period will not be taken into account or will be excluded from the registration. We therefore recommend sending e-mails in the first hours of this time period, not at the end of it.

2. Each applicant may send only one e-mail. If one applicant sends more than one e-mail within the given deadline, he/she will be automatically excluded from registration, even if the e-mails are sent from different e-mail addresses.

 

Conditions of the content of the registration e-mail:

1. ONLY THE PASSPORT NUMBER OF THE APPLICANT must be mentioned in the SUBJECT of this email. E-mails that have OTHER information than the passport number in the subject of the e-mail (including for instance abbreviations referring to forwarding or replying - FW, RE, etc.) WILL BE EXCLUDED FROM THE REGISTRATION.

2. The body of the e-mail must include the following identification data of the applicant:

- name, surname

- date of birth

- contact telephone number

- contact e-mail

- purpose of stay (employment card)

3. One e-mail can contain only one registration (1 email = 1 person)

4. ONLY copies of the following documents in PDF format must be attached to the application email:

• scan of the data page of the applicant's passport

• scan of the employment contract that will be submitted together with the application

• scan of residence cards proving the applicant's continuous stay in Japan for at least two years AND a residence card proving the applicant's current residence in Japan (longer than 1 year)

 

When submitting the application at the embassy, identical documents must be submitted that were sent during registration, otherwise the registration is invalid.

Please note that attempts to mass send registrations using software tools may be evaluated as spam by the anti-spam security of the mzv.gov.cz domain in order to ensure the functionality of the system for all applicants, as a result of which such registrations will be excluded. Registration e-mails for which the sender has activated the feature of impossibility of replying in a copy of the registration e-mail will be excluded from registration.

Without meeting the above requirements, the registration is invalid and will not be taken into consideration. It will be excluded from processing without further reply to the applicant.

Electronic registration contains an element of randomness. In the case of successful registration, the applicant will be notified of the specific application time slot by e-mail sent to the contact e-mail address mentioned in the order. The given time slot is fixed and cannot be changed under any circumstances.

 

 

The official languages of the Embassy of the Czech Republic in Tokyo are Czech, Japanese and English. Applicants who cannot communicate in either of these languages need to arrange, at their own expense, an interpreter.
