Call for Proposals: Small-Scale Projects in Vietnam 2026

The Embassy of the Czech Republic in Hanoi is launching its annual call for proposals for the Small-Scale Projects (SSP). The projects aim to create positive change within the framework of Development Cooperation of the Czech Republic. All interested organisations are invited to submit their proposals by September 21, 2025.

QUALIFYING PROJECTS:

The projects can focus on various sectors – for example environment, agriculture, health, education, social services etc. All projects should be based on the principle of sustainability - that is sustaining the benefits for the long term without an additional external support.

AVAILABLE FUNDING:

A project can be funded with a budget from 200,000 CZK (approx. 9,500 USD) to 500,000 CZK (approx. 23,500 USD) maximum. Co-funding from the applicant or other sources is welcome. Total sum of personal and travel costs must not exceed 25% of total SSP budget. Maximum SSP duration is from signing of the Contract (approx. March) to October, i.e. 7 months in total.

WHO IS ELIGIBLE TO SUBMIT A PROPOSAL:

Only organizations with legal capacity in Vietnam can submit an SSP proposal, including:

- local non-governmental, community and not-for-profit organizations,

- local academic institutions working on local projects,

- international, intergovernmental, multilateral and regional institutions, organizations and agencies working on local development activities,

PROCESS TO SUBMIT A PROPOSAL:

All proposals should be delivered to the Embassy of the Czech Republic in Hanoi BOTH in electronic form (editable Excel format file (.xlsx) AND scanned .pdf or .jpg file with a stamp/signature, to emails: hanoi.commerce@mzv.gov.cz and linh.mai@mzv.gov.cz  AND paper form to the address:

The proposals MUST contain:

Completed Identification Form with stamp and signature both in editable .xlsx format and a .pdf or .jpg scan (see attachment),

Copy of the Document proving the Applicant’s legal capacity (i.e. a document proving the organization submitting the proposal legally exists – e.g. document of incorporation, registration or establishment of the organization),

Copy of the Authorization of the signed person to act on the Applicant’s behalf (i.e. document proving that the person submitting the proposal can act on behalf of the organization – e.g. an authorization letter signed and stamped by the CEO or a Director of the organization).

All documentation must be in English or with a translation attached.

TIMETABLE OF PROJECTS:

Applicants should submit their proposals to the Embassy of the Czech Republic no later than September 21, 2025. Please note that both electronic and paper versions of the submission are required. These deadlines are final and cannot be extended due to the necessary following procedural steps!!

The assessment of the proposals will take several months and should be completed by February 2026.

Successful applicants should sign a contract for implementation of the project with the Embassy of the Czech Republic no later than March 15, 2026.

All SSP activities should be finished no later than October 31, 2026. 

Successful applicants must submit a Final Report and all relevant financial documents to the Embassy of the Czech Republic as soon as possible after the SSP conclusion, no later than November 20, 2026.

Please download and use the attached Identification Form below in order to submit your proposal. Only proposals duly prepared and submitted in this form and in line with these instructions will be admitted for evaluation. 

 

Project calculations in terms of financial requirements should be filled in using either USD, EUR, or VND as project/local currencies in order to facilitate conversion to CZK. 

Please bear in mind that currency fluctuations need to be taken into account. Contracts for awarded SSPs will be quoted in CZK. The approved CZK amount is final and cannot be changed. It is thus necessary to take this into account during the project and budget preparation and allocation in the Identification Form.
