Appointment system

All applicants for services offered by the Consular and Visa section of the Embassy of the Czech Republic in Nairobi have to make an appointment to submit their applications.
The Embassy of the Czech Republic in Nairobi is using the e-mail appointment system for lodging applications for visas, residency permits and consular services.
The Embassy strongly recommends that all applicants arrange their visa appointment well ahead of time of the intended travel (long term visas - at least 3 months; short term visas - at least 4 weeks; tourist or school groups of over 20 applicants at least 6 weeks).
Short-term (Schengen, C class) visa applications
Each applicant must arrange the appointment by e-mail sent to nairobi.visa@mzv.gov.cz
Kindly note that each adult applicant should send one e-mail (e.g. each member of a group or family should send an individual e-mail). Please do not send your requests repeatedly or in several parts.
The e-mail should contain the following information about the applicant:
- Name and surname
- Date of birth
- Passport/travel document number
- Purpose of travel (e.g. tourism, business, visit, conference, etc.)
- Valid personal telephone number and e-mail address
- Scan of the data page of the applicant’s passport/travel document; for foreigners legally residing in Kenya (or other countries of accreditation of the Embassy, i.e. Burundi, Rwanda, Tanzania, and Uganda) also the scan of the residency permit (the residency permit must have been issued at least one year ago)
- Scan(s) of the document(s) confirming the applicant's purpose of stay (e.g. invitation letter, proof of arranged accommodation, itinerary etc.).
Scanned documents must be attached in jpg or pdf formats only.
If the above-mentioned information is not provided, or if the request does not meet the criteria (e.g. the format of the attachments and/or the incorrect mailbox used), the applicant will not receive any response.
If you are an eligible family member of an EU citizen, please indicate this fact clearly and forward to the Embassy a scan of the document confirming your EU family member status.
Long-term visa (D class) and residency permit applications
Each applicant must arrange the appointment by e-mail sent to nairobi.visa@mzv.gov.cz

The e-mail should contain the following information about the applicant:
- Name and surname
- Date of birth
- Passport/travel document number
- Type of visa (long-term visa or residence permit)
- Valid personal telephone number and email address
- Scan of data page of the applicant’s passport/travel document, for foreigners legally residing in Kenya also scan of residency permit (the residency permit must have been issued at least one year ago)
- Scan(s) of the document(s) confirming the applicant's purpose of stay (e.g. the admission letter issued by a university, in case of study visas).
Scanned documents must be attached in jpg or pdf formats only.
If the above-mentioned information is not provided, or if the request does not meet the criteria (e.g. the format of the attachments and/or the incorrect mailbox used), the applicant will not receive any response.
Should you intend to apply for a study long-term visa, kindly only request the appointment if you have already received the ORIGINAL letter issued by the Czech university confirming the admission to study and the document confirming your accommodation.
The Czech Embassy in Nairobi only has the capacity to accept 2 applications per week for long term visa and residency permit applications. The appointments will be organized as follows:
Tuesdays from 9 a.m. - 1 application for a long term visa / residency permit application for the purpose of study,
Thursday from 9 a.m. - 1 application for a long term visa / residency permit application for the purpose of study or other purposes.
Consular services
Each person must arrange the appointment by e-mail sent to nairobi.consulate@mzv.gov.cz with following information:
- Name, surname of the applicant
- Kind of service requested (legalization of documents, verification of signature, application for a Czech passport, etc.)
- If legalization of documents is required, the scans of the documents (in jpg or pdf formats only).
If your request meets all above-mentioned criteria, the Embassy will send you the date and time of your appointment, usually within 3 working days after receiving your e-mail, or request more scanned documents.
Please note that the allocated appointment date and time is not negotiable and the applicant will always receive the first available time slot.
The Embassy’s working languages are Czech and English only. Applicants for long-term visas and residence permits who cannot communicate in Czech or English should arrange an interpreter at their own expense.
The Embassy communicates in visa and consular matters by e-mail. Social media are not used for official communication.
