Authentication and Notarization services

The Consular section of the Embassy of the Czech Republic in Kuala Lumpur provides following notarization and authentication services for use in the Czech Republic: superlegalization, signature authentication, translation authentication and true copy authentication. Notarization and authentication services are performed during Consular office hours (Tuesday, Thursday 9-12) by appointment only.
Superlegalization
Purpose: Most official documents issued in Malaysia do not have any legal relevance in the Czech Republic unless they are authenticated (superlegalized) by the Embassy of the Czech Republic in Kuala Lumpur.
Requirements: Malaysian official document (original document, NOT a certified copy or a printed scan) affixed with superlegalization stamp by the Consular Division of the Ministry of Foreign Affairs of Malaysia (documents issued directly by the MFA, like a Certificate of Good Conduct, do not need to be further legalized by the MFA). The legalization of MFA confirms to the Embassy that the document is authentic and that it has been issued by a competent authority and signed by a competent clerk.
Administrative fees: 1200 CZK (cashless payment) or its equivalent in Malaysian Ringgit in cash. (half of this price for vital statistics documents - birth, marriage and death certificates - when registering vital events in the Czech Republic). The fee is charged per document.
Processing time: Usually immediately (In case of large volume of authentications, the processing time may increase).
Note:
- In order to keep the original document, the Embassy can create a certified true copy from the superlegalized document.
- Personal presence of the document "owner" is not required, anybody can deliver the document intended to be superlegalized.
- Due to security reasons and necessity to cover administrative fees it is not possible to send documents by mail or courier to the Embassy.
- Superlegalized documents intended to be used as official documents in the Czech Republic must also be furnished with certified translation into Czech language. The Embassy does not offer translation services.
Signature authentication (legalization)
Purpose: To officially confirm that a signature on a document belongs to the person who has signed it. On some specific documents, such as various declarations or powers of attorney, this official confirmation is required in order for the document to be considered legally valid by the Czech authorities and serve its intended legal purpose.
Requirements: personal presence, valid identification document (Czech citizens must present their Czech passport or Občanský průkaz, foreign nationals present their passport), document that is to be signed (must be in Czech or English; blank page may not be legalized).
Administrative fees: 500 CZK (cashless payment) or its equivalent in Malaysian Ringgit in cash. The fee is charged per each signature.
Processing time: Immediately (In case of large volume of authentications, the processing time may increase).
Additional notes: A consular signature authentication conveys no judgement on the part of the authentication officer as to the validity or truth of an authenticated document. Only a signature, not the contents, is authenticated. Applicants do not need to sign the document in front of the authenticating official, their acknowledgement of a previously made signature suffices.
Translation authentication
Purpose: As the official language in the Czech Republic is Czech, some foreign documents (especially supporting documents for visa applications) must be translated into Czech language and the translations then verified by accredited Czech officials (Czech embassies/consulates or accredited individual translators).
Requirements: the document in the source language, its accurate translation on a separate sheet of paper.
Administrative fees: 600 CZK (cashless payment) or its equivalent in Malaysian Ringgit in cash. The fee is charged per page.
Processing time: Usually immediately (In case of large volume of authentications, the processing time may increase).
Additional notes: The consular officers may only authenticate documents in languages, which they command. Documents made in other languages must be accompanied by a translation into English, which will be authenticated.
True copy authentication
Purpose: When presenting copies of certain documents, official confirmation certifying the identical content is sometimes required in order for the copy to serve the same legal purpose as the original document.
Requirements: the original document, its copy.
Administrative fees: 600 CZK (cashless payment) or its equivalent in Malaysian Ringgit in cash. The fee is charged per page.
Processing time: Usually immediately (In case of large volume of authentications, the processing time may increase).
Additional notes: It is not possible to authenticate any proof of identification (such as passports, ID cards, drivers licenses etc.), bankbooks, cheques, tickets, coupons, geometric or technical designs. We will also not certify a copy of an original document that violates the Czech legislation or has modifications that could impair its credibility.
