Information for Applicants: Collection of Passport and Visa

Once a decision has been made on your long-term visa application, your passport together with any visa issued by the Embassy may be collected by:

the applicant;
an authorized representative; or
another person designated by the applicant.

The passport (long term visa) may be collected directly at the Embassy.

The Embassy does not require the personal presence of the applicant when collecting a passport. Likewise, if another person collects the passport on the applicant’s behalf, a notarized power of attorney is not required.

To release a passport to a person other than the applicant, the Embassy accepts any of the following:

  • proof of payment of the visa fee; or
  • the receipt or confirmation issued to the applicant when the visa application was submitted (if applicable); or
  • a simple authorization letter or power of attorney signed by the applicant (no notarization required).

Any one of the above documents is sufficient.

When collecting a passport at the Embassy, the applicant or the person collecting the passport must sign the last page of the visa application form and indicate the date of collection. This enables the Embassy to verify who collected the passport and when the collection took place.

If, at the time of submitting the visa application, the applicant identifies by name the person who will collect the passport on their behalf, the Embassy will record this information on the last page of the visa application form.

In such cases, no additional authorization, receipt, or confirmation document is required. The designated person will only need to acknowledge receipt of the passport upon collection.
