IMPORTANT: The Embassy of the Czech |Republic in Accra brings your attention to the fact that appointments at VFS are fully booked approximately 2 months ahead for touristic purpose and 2 weeks for other purposes so the applicants are recommend to take this delay into consideration when booking an appointment not to mention the rule to apply at least 15 days before the planned journey otherwise there is a risk that the application will not be accepted or treated earlier than this lawful delay.  

 

SPECIFIC VISA APPLICANT CATEGORIES WITH FACILITATION

 

1. FAMILY MEMBERS OF EUROPEAN UNION CITIZENS can make an appointment to submit a Schengen visa application as follows:

- The appointment request must be sent by e-mail to: Accra.Consulate@mzv.gov.cz.
- In the subject line of the e-mail, please indicate your full name (as shown in the passport) and the purpose of the travel / that you are a family member of an EU citizen.
- Please attach a scan of the document proving your status as a family member of an EU citizen (for example, birth certificate, marriage certificate, proof of durable partnership, or any other relevant document).
- Family members of EU citizens benefit from a special procedure under EU legislation – the application is processed as a priority (an appointment is assigned within 14 days of receipt of the appointment request) and without a visa fee. 
- Family member of an EU citizen can apply at the VFS-Ghana Visa Center or on the request at the Embassy once fulfilled the above mentioned conditions.

2. PROFESSIONAL FOOTBALL PLAYERS traveling to the Czech Republic to participate in a short-term professional competition or match, or to engage in long-term professional sports activities, can make an appointment to submit their application as follows:

- An appointment must be requested by sending an e-mail to: Accra.Consulate@mzv.gov.cz.
- In the subject line of the e-mail, indicate your full name (as shown in the passport) and the purpose of your travel.
- The e-mail must include as an attachment an invitation for trials from a 1st or 2nd division teams in the Czech Republic, along with a scan of the passport.
- It is possible to apply for a Schengen visa application parallelly with the long-stay visa application, only the Schengen visa application must be submitted at VFS-Ghana Visa Center while the long-stay visa application at the Embassy of the Czech Republic in Accra. This fact must be communicated to the authorities ahead when applying for an appointment and both the Professional contract and invitation must be attached.
- This system applies exclusively to professional football players participating in a competition, match, or trials on the territory of the Czech Republic. It does not apply to visits by family members of players active in the Czech Republic.
- The appointment for submitting the application will be assigned to professional football players within 14 days of receiving the appointment request.

3. DIPLOMATIC OR SERVICE PASSPORT HOLDERS

- The appointment request must be sent by e-mail to: Accra.Consulate@mzv.gov.cz.
- In the subject line of the e-mail, please indicate your full name (as shown in the passport) and the purpose of the travel.
- The e-mail must include as an attachment of the verbal note, along with a scan of the passport.
- Schengen visa application can be submitted at the Embassy of the Czech Republic in Accra.

II. LONG-TERM VISA AND RESIDENCE 

Applicants for national long term visa and residence permit for the purpose of study / family reunification / others (sport, culture, seasonal work, health, business, visiting family, etc.) should kindly book an appointment with the Embassy of the Czech Republic in Accra by email only (see below).

Registration for all the stay purposes takes place every 23rd day of the current month - regardless the fact it falls on the working day, week-end or holiday Czech or Ghanaian - from 8 a.m. to 2 p.m. for the month following the date of registration.​ 

 

Exceptions to the rule of obligatory booking an appointment for submitting an application for a long-term residence permit through the Embassy´s booking system:

 

RESEARCHER

- An appointment must be requested by sending an e-mail to: Accra.Consulate@mzv.gov.cz.
- In the subject line of the e-mail, indicate your full name (as shown in the passport) and the purpose of your travel.
- The e-mail must include as an attachment the hosting agreement with the relevant scientific/research institution or school in the Czech Republic, along with a scan of the passport.
- Applicants in the category of researchers and their family members even if they are not persons included in the government programs of the “Qualified Employee Program” or the “Key and Scientific Personnel Program”.
- If he or she is followed by family members, they submit applications for long-term residence for the purpose of family reunification at the same time. These applicants are then subject to an accelerated visa procedure.
- The appointment for submitting the application will be assigned to professional football players within 14 days of receiving the appointment request.

PROFESSIONAL FOTBALL PLAYERS

- An appointment must be requested by sending an e-mail to: Accra.Consulate@mzv.gov.cz..
- In the subject line of the e-mail, indicate your full name (as shown in the passport) and the purpose of your travel.
- The e-mail must include as an attachment the signed professional contract to perform sports activities in a 1st or 2nd division teams, along with a scan of the passport.
-  In case the applicants intends to apply parallelly for the long-stay visa and the short-term Schengen visa, this fact must be specified in the request when applying for an appointment. While the long-stay visa application will be submitted at the Embassy of the Czech Republic in Accra, application for Schengen visa will be accepted only at VFS-Ghana Visa Center (only after arrangements and appointment made by the Embassy) with the invitation letter from the Czech football club.
- This system applies exclusively to professional football players with existing professional contract with a Czech football club who need to start their engagement before the long-term visa procedure is completed by the Czech authorities. It does not apply to reunification by family members of players active in the Czech Republic.
- The appointment for submitting the application will be assigned to professional football players within 14 days of receiving the appointment request.

 

How to registre 

 

1. Send a registration email to the following email address: Accra.Student@mzv.gov.cz (only study purpose), Accra.Visa@mzv.gov.cz (all other purposes as specified) or Accra.Seasonal@mzv.gov.cz (only seasonal work purpose) on the above-mentioned date at the above-mentioned time.*

2. Indicate your passport number in the email subject line.

3. In the body of the email, include the following information: full name (as it appears on your travel document), type of visa and purpose of stay. Additionally, if applicable, include the names of your spouse and children if you are applying jointly.

4. Attach the following documents to the e-mail (in .pdf format): a scan of the passport data page, a scan of the proof of purpose of residence, and a scan of the valid residence permit (in the case of third-country nationals).

5. Applicants who are not citizens of the countries belonging to the territorial jurisdiction of the Embassy of the Czech Republic in Accra must also attach proof that they have been permitted to reside in the country within the territorial jurisdiction of the Embassy for at least the two years preceding the application. If residence cannot be proven, the applicant must submit the application in their home country.

6. 1 applicant = 1 email. Submit only one email per applicant. Only one applicant can be submitted in each email. The only exceptions are: when minor children apply with a parent (→ parent includes minor children in their application) or when a family is applying (→ one family member includes minor children and spouse in their application).

7. Your email will be processed electronically by a system based on a randomized element.

8. The following emails will be disqualified from the registration process:
(i) emails that are not sent in the format specified in point 2,
(ii) emails that do not include the attachments referred to in point 4,
iii) emails in which the applicant attempts to register multiple applicants in one submission** - except for emails from family or parents registering their minor children, 
(iv) emails that are sent multiple times by one applicant, 
v) emails sent outside the specified registration period,
vi) emails with attachments larger than 10 MB.

9. Wait for the confirmation. The Embassy will inform you within 7 days whether or not a submission date has been assigned.

10. If you do not receive confirmation of an assigned appointment within 7 days, it implies that your registration for an appointment was either unsuccessful or was not sent in accordance with the terms and conditions of the registration process.

11. The assigned date cannot be changed. If you fail to show up for your appointment, the assigned date becomes invalid. If you arrive late without prior apology, your appointment will also be cancelled - in such a case, the Embassy will proceed with other applicants who arrived on time.

**In order to ensure the functionality of the system, the mzv.gov.cz domain antispam may identify attempts to send bulk registrations via software tools as spam. As a result, such registrations will not be processed.

*** In case that the Czech or Ghanaian national holiday falls on the day of working hours reserved for the submission of visa applications the number of applications received by the Embassy the respective month decreases. 

 

FAQ

1. Include only your passport number in the subject line. No other characters are permitted (e.g., Re.:, Fwd:, etc.).

2. Email registration will take place on the above-mentioned date.

Emails received at the above-mentioned registration emails before or after the designated registration period will be disregarded and excluded from the registration process. The time of delivery of the email to the mailbox is determining. 

3. Due to the cybersecurity measures of the Ministry of Foreign Affairs of the Czech Republic, we recommend sending your email during the first hours of the registration period, rather than at the end.

4. Each applicant may send only one email.

If multiple emails are sent on behalf of the same applicant within the given deadline, the applicant will be automatically excluded from the registration, even if the emails are sent from different email addresses.

5. Email applications must include copies of the following documents in PDF format only:

• A scanned copy of the data page of the applicant’s travel document

• A scan of the document of the purpose of stay

6. Citizens of countries other than Ghana may only participate in the registration if they have been residing in Ghana for more than two (2) years on the basis of a long-term residence permit. A scan of this residence permit must be included in PDF format in the registration email together with the other required attachments.

7. Registration emails where the sender has activated a restriction preventing replies (such as disabling receipt of confirmation replies) will be excluded from the registration process.

8. As from January 1 2024 the Embassy of the Czech Republic in Accra does not accept applications for employee cards in connection with the novelisation of the Government Decree Nr. 220/2019 dated December  13 2023. Quota of applications for long stay visas for the purpose of business remains 8 per year.
